Independent OD: Sharing patient prescriptions between 2 WINK databases

WINK now allows optometrists using their own WINK database to share an eyewear prescription with a dispensary that is also using WINK. Avoid double data entry and/or bad data entry, save time and energy, don't ever order the wrong Rx because of a typo!

The setup is VERY easy. A simple configuration in both the optometrist's and the dispensary's databases is required. 

 

SET UP IN THE OPTOMETRIST'S DATABASE

You will need to get these 2 information from the dispensary:

  • The dispensary's account registration email in WINK 
  • The dispensary's pms ID in WINK (it's a 3 or 4 digit number)

In the dispensary's database, you can find this information by clicking on: Patient>>Independant OD>>Import from other PMS account:

Once you have the information above, follow these 4 simple steps:

  1. Company>> Stores>> Practices/Stores>> Open the location where prescriptions should be imported 
  2. Click on Edit>> Click on the tab "Independant OD" 
  3. Type the dispensary's registration account email and pms account number in the appropriate fields and
  4. Save

SHARING A PRESCRIPTION WITH THE DISPENSARY

To share a patient's final prescription with the dispensary, simply click on the "Export" button in your exam screen and confirm:

SET UP IN THE DISPENSARY'S DATABASE

You will need to get these 2 information from your optometrist:

  • The optometrist's account registration email in WINK
  • The optometrist's pms ID in WINK (it's a 3 of 4 digit number)

In the optometrist's database, you can find this information by clicking on: Patient>>Independant OD>>Import from other PMS account

Automatic Import of patients and prescriptions

If you would your WINK database to accept and import all shared Rxs from an optometrist, follow the 4 steps below:

  1. Patient>> Independant OD>> Auto Import Settings
  2. Type the optometrist's registration account email and pms account number in the appropriate fields
  3. Choose the store in which the Rxs should get auto-imported
  4. Click Add

If you are working with multiple optometrists using a WINK database, you can add as many as you need!

By setting up the auto-import of prescriptions, no further action is required. The patients, their demograpihcs and their prescription simply appear in the dispensary's database once the optometrist has hit the "Export" button on their side. The dispensary will not get notified when a prescription is shared by the optometrist. 

 

Manual import of patients and prescriptions

If you choose the manual import, you do not need any setting up in the dispensary's database. You can simply check for shared prescriptions once in a while:

Patient>> Independant OD>> Import from Other WINKpms Account

How does WINK know how to match a patient from the doctor database to the dispensary database?

 

WINK will look for:

1) Exact first and last name match

2) Same date of birth

3) Same medical Card

4) If none of the above is met, WINK creates a new patient and links the 2 patient numbers (z#) from both databases for future sharing

 

Example:

1) Patient name is John Smith. WINK will look for John Smith and will never look for a similar entry like Jonh Smith. If there is no John Smith in the dispensary database, WINK will create a new patient.

2) If there are multiple "John Smith" in the retail database, WINK will look for a John Smith with the same date of birth

3) If more than one "John Smith" have the same date of birth, WINK will look for a John Smith with the same date of birth and medical card

4) If there is no John Smith in the dispensary database, WINK will create a new patient in the dispensary database. WINK will recognize John Smith (#z123) from the doctor database to be John Smith (z#456) from the dispensary database forever.
