Patient communication - Recall lists and Marketing

Question:

Other than eye exam recalls, what are the other purposes of Recalls and Marketing? How can I generate a list?

Answer:

Reasons for recalls:

- Say Happy Birthday to your customers
- Notify your patients that their order is ready (using SMS or Email)
- Marketing (promotion)
- CL Renewals
- Follow up on sales (courtesy call)
- Follow up on quotes/estimates
- Patient Statements (accounts receivable)
- Educational Materials (eye conditions; insurance coverage changes; new lens designs)

 

 

Creating a list of recall:

*You must have templates created PRIOR to generating recall lists! If you don't know how, read this article: How to create Templates for Recalls and Marketing? (SMS and Email).

Patient communication>> Recall & Marketing: Email, SMS, Mail Merge>>OK>> Choose the communication method (SMS, Email or Mail Merge) and a template>>OK

Now, use the different filters to create a customized list. We encourage you to play with filters and combine them to get very precise lists! When you are done selecting your filters, click Search. 

If you want to add more patients using different filters, simply select the new filters and click on search again. This will ADD patients to the list you have already created, but if they are already on the list, they will not appear twice. 

To start a brand new list, Click on Reset Filters. 

 

Example: You want to send birthday wishes by SMS to your customers born in September

In the filters>> select Birth Date, keep date range to All and select September>> Search.

You can narrow the search by using more filters, like Age Range, Postal Code, Gender. For example, you can search for women between the age of 16 and 65, whose postal code is M9N. In one of the last columns of the list, you can also see the average spending of this person. If they never bought anything in your store... maybe you want to remove them from the list!

To remove patients, select them (multi-select or select one by one), right click and remove from the list.

You can move the columns by clicking on a header and dragging it where you want!  You can sort patients by double-clicking on a column header.
