Question:
I want to do a recall campaign by mail. How can I output my patient addresses to Avery address labels?
Answer:
- WINK is integrated with Avery 5160 labels (30 labels per sheet). Additional charges may apply for integration with another Avery format.
- Please ensure that:
- Your computer has a valid license of Microsoft Word (not WordPad, or any other word processing software not compatible with Avery labels).
- Your computer can print a regular word document on regular paper.
- Your computer, printer, internet and router are functioning properly.
- Login to WINK
- Click on Patient Communication >> Recall Now: Phone/Email/SMS
- Build your distribution list by using the filters in the left-hand column. You can continually add names to that distribution list using the filters above. You can also clear the list. The most common filters are:
- Leave all filters blank and click on "Search". Doing so will load your entire patient list. If you have tens of thousands of patients in your list, then doing so could take upwards of 10 minutes so be patient.
- Click on "Last Eye Exam" >> In the "From" field, select July1 2015 >> in the "To" field select July 31, 2015 >. Click on "Search"
- Below the recall dates combo box >> in the "From" field select August 1 2016 >> In the "To" field, select August 30 2016
- Type their "i" number or "r" number in the field and press "Enter"
- Load all patients:
- Load all patients who had an eye exam 12 months ago:
- Load all patients who are scheduled for a recall this month
- Load certain specific customers by invoice ID or Rx Worksheet ID:
- Once you are satisfied with your distribution list, at the top right of the window, select "Mail Merge" >> "Avery Labels" >> click on "Mail Merge"
- Allow a few moments for WINK to export and format the information into a Microsoft Word document. The more names in your distribution list the longer it will take. So be patient.
- A window may appear with a Word document containing your Mail Merge. Double-click on the file to open it in Word.
- Load Avery labels in your printer
- Click on Print
